The article provides a comprehensive guide on how to add new users to the Aware platform, manage their roles, and set up Single Sign-On (SSO) access.
Adding a new user to Aware requires administrative permissions; the System Settings are at the bottom of the left-hand navigation bar.
Adding a New User in Aware
Do not select View Roles when creating the new user. The user will not be created if you try to assign the role during initial creation.
- Navigate to System Settings > User Management > Add a User
- Enter the First Name
- Maximum length is 150 characters
- No restrictions on characters
- Enter the Last Name
- Maximum length is 150 characters
- No restrictions on characters
- Enter an Email Address
- Maximum length is 254 characters
- Must be a valid email address
- Once the user has been created, you can add it to a Role
Adding a User to a Role
- Go to System Settings > Roles
- Either scroll the list of Roles or search by Role name
- Select the Role in the list
- Click Users
- Click Add Users
- Either scroll through the list of users or search for the user by typing characters in their name
- Select the checkbox for the user you want to add to the role
Adding new SSO Users
Adding a new user that will use Single Sign On (SSO) is an easy process that can be handled entirely by your team. Here is what you will need to get started:
- Ensure that Aware is connected with your Identity Provider. Contact your Customer Success Manager if you have questions.
- An Aware administrator who has access to System Settings.
- An administrator for your Identity Provider (Azure, Okta, Ping Federate, etc.). This will likely be a member of your IT team
We highly recommend you wait to assign Roles to a new user until AFTER they have signed into Aware with their SSO credentials. Assigning Roles before could result in permissions being removed upon first user log in. Refer to our RBAC documentation for additional information.
Add the New User in your SSO Provider Portal
These steps will be completed by your Identity Provider Administrator:
- Log into you SSO Portal (Azure AD, Okta, Ping Federate, etc.).
- Grant the user access to the Aware Application within the Identity Provider (Azure AD, Okta, Ping Federate, etc.).
After these steps are completed, instruct the new user to sign into their Aware environment (https://aware.work) using their SSO credentials.
